FSSC Guide - Apprenticeship Claims Procedure:    

 

The following brief guide is for Further Education Colleges and Private Providers who wish to submit an apprenticeship claim for certification.

Please ensure that all claims submitted adhere to the following guidlines. Please be aware errors will delay processing and receipt of the apprenticeship certificates.

When submitting claims for apprenticeship frameworks please follow the guidelines below carefully as errors or missing evidence will delay the process of your claim.

Frequently Asked Questions:

How long will it take to receive the certificate?
Certificates are usually sent within 6 weeks of receiving payment.

Where shall I send my claim to?
All claims should be sent to Education Administrator, FSSC, 51 Gresham Street, London EC2V 7HQ.

Who should I address my claim to?
Claims should be addressed to the Education Administrator.

I have a query, who do I contact?
If you have a financial related query e.g. to check that payment has been taken for your claims, please contact the Education Administrator on 0845 257 3772.
If you have a query relating to frameworks, concessions, status of certification claim, please contact the Education Administrator on 0845 257 3772.

How do we pay?
All claim forms must be accompanied by payment either a cheque or purchase order for invoicing. Payment can also be made by BACs. Certificates will not be issued until payment in received in full. For further information on payments please contact the Education Administrator.

What is the quickest method of payment?
Cheque is the quickest method of payment as this can be banked immediately.

What do I do if I haven’t received my certificates?
In the first instance, you should contact the Education Administrator via the main FSSC contact routes (telephone & email).

How long does FSSC keep copies of claims forms for?
Claims are held in storage and then destroyed after 6 months.

Should I send originals or copies of evidence?
You should send copies of evidence rather than originals as claims are destroyed after a period of time.

What evidence is acceptable to accompany claims?

What happens if my claim is rejected?
You will receive a letter outlining why your claim has been rejected and what else will need to be completed to meet the evidence criteria, if appropriate.

Why would my claim be rejected?
There are a number of reasons why a claim could be rejected. The most common reason is that the required evidence is not submitted. Other possible reasons include certificates having already been issued for a particular candidate, forms not completed correctly, ERR workbook not signed by all parties etc.

What should I do if there is an error on the certificate?
Return the certificate to the Education Administrator, either via post or fax to 0845 257 3770, noting the error and a corrected version will be issued.
